The Sales Workout helps sellers practice sales conversations with AI-generated buyers. This policy explains what account, billing, practice, transcript, scorecard, and usage data we process to provide the service.

Who We Are

The Sales Workout operates from 125 New North Road, Islington, London N1 7AA, United Kingdom. You can contact us at support@thesalesworkout.com.

Our Role

For account data, billing data, usage records, support requests, security logs, and service operations, The Sales Workout is generally the data controller because we decide how that data is used to provide and run the service. Where a customer uploads or enters prospect notes, call context, transcripts, recordings, or other workspace content about their own business, customers, prospects, or team, The Sales Workout may act as a processor or service provider for that customer where that role fits the way the data is used.

Data We Process

We process account details, email address, authentication identifiers, lead opt-in records, email preferences and unsubscribe records, a record of which emails we sent you, offer setup, buyer/persona configuration, prospect notes you choose to enter, practice-call audio, generated transcripts, hints, scorecards, call-sheet records, deal/practice outcomes, usage seconds, team membership, seat and sharing status, subscription identifiers, support messages, technical logs, first-party signup attribution data, and consented website analytics and advertising-measurement events.

How We Use Data

We use service data to provide AI practice calls, generate roleplay buyers, produce scorecards and feedback, keep your workspace history, manage subscriptions and team seats, deliver member-authorised team sharing, prevent misuse, respond to support requests, and maintain service reliability.

Emails We Send

We send two kinds of email, and you choose about each one separately.

Service emails. These help you use the account you signed up for. While your account is on a Free Trial, we send a short series of emails about the trial: a welcome, a reminder if you have not started a workout, a note when a scorecard is ready, a suggestion for your next workout, and, once you have used your free workouts and viewed your first scorecard, a message about the Starter plan. Every Free Trial account gets them, whatever you chose about marketing emails. We send at most one of these emails in any 20 hours. The series stops when you move to a paid plan or unsubscribe, and ends 21 days after you sign up, counted from the day you created your account. If you asked us to email you a link to finish a workout, we send that link once and nothing else for that request. We send these because they are part of the service you asked for.

Marketing emails. Occasional tips, offers and product news. We send these only if you said yes: by ticking the box when you signed up, or by turning them on in Settings while signed in. They are off unless you turn them on. We keep a record of your choice, when you made it, where, and the exact words you were shown, so we can show what you agreed to. We send these because you consented, and you can withdraw that consent at any time.

To choose the version of the Free Trial emails that fits your work (for example real estate, recruitment or selling a service), we use the first workout you run and, if you allowed optional tracking, the page or link you signed up from.

Changing your choices. Every email we send has an unsubscribe link. The link in a Free Trial email stops the Free Trial emails. The link in a marketing email stops marketing emails. Either link opens your email choices page, where you confirm with one button; opening the link on its own changes nothing. From that page you can also stop the other kind. A link in an email can only turn emails off: to turn marketing emails on, use Settings while signed in, where you can also turn them off at any time. Stopping one kind does not change the other. Account, security and purchase emails still arrive whatever you choose. If you delete your training data, we keep your unsubscribe, your marketing email choice and a note that your Free Trial emails have ended, without your email address, so we keep respecting them and the series does not start again. These emails are sent for us by Resend.

AI Providers And Processing

Practice calls, prompts, transcripts, scorecards, hints, and optional audio analysis may be sent to AI model providers so they can generate buyer responses and training feedback for you. This is third-party processing on our behalf. We do not sell your practice data, and we do not use your prospect notes, transcripts, or outcomes to train The Sales Workout's own models.

Service Providers

We use industry-standard providers to run the service, including hosting, database, authentication, payment, email, analytics, advertising measurement, support, security, and AI model providers. These may include providers such as Render for hosting, Supabase for authentication/database/storage, Stripe for payments and billing, Google for analytics and Gemini AI model processing, Meta for advertising measurement, and transactional email providers such as Resend where configured. These providers process data only where needed to provide, secure, support, measure, market, or bill for The Sales Workout.

Confidentiality

Your workspace content is private to your account and is used to provide the service. "Private" does not mean that no technical providers process the data: hosting, payments, analytics, support, security, and AI model providers may process data where needed to operate The Sales Workout.

Team Access And Sharing

On a team plan, the team owner can always see who belongs to the team and whether each seat is active. When team reporting is available for the team, the owner can also see each member's sharing status. The owner cannot see a member's training content by default. A member may opt in to an activity summary covering workouts completed after opt-in and may share individual scorecards. A scorecard permission does not include its transcript. The member must give separate permission for the transcript attached to each report. Team reporting does not share audio or the saved prospect-note or buyer-setup fields with the owner. A transcript the member shares contains the workout conversation and may repeat details from that context.

A member can revoke any sharing permission at any time. Revocation blocks the owner's future access through The Sales Workout. It cannot retrieve copies or screenshots already made. Team reporting does not provide shared leaderboards or unrestricted manager surveillance.

Payments

Payments, invoices, card updates, and cancellations are handled by Stripe. We store Stripe customer, checkout, subscription, and plan identifiers and, where an affiliate offer applies, the validated partner code and discount metadata used for that transaction and related commission accounting. We do not store full card numbers.

Cookies, Local Storage, And Attribution

We use essential cookies and browser storage to run the service, keep you signed in, protect accounts, remember your cookie choice, support checkout, and maintain security. These are needed for the service to work.

If you allow optional tracking, we use first-party browser storage to understand which pages and campaigns lead to account creation and free-workout leads, and to pick the version of our Free Trial emails that matches the page or link you signed up from. This attribution may include a random anonymous visitor ID, the first page you visited, recent pages on our site, the referring website, UTM parameters or ad click IDs in the URL, the signup button you clicked, and timestamps. Until you allow it, optional marketing attribution is not written to first-party attribution storage; campaign values may still be carried in the current page URL, and a current-link affiliate code may be processed for checkout as described below.

When you open a link we sent you in a message, our server records that the link was opened: the time, the page the link leads to, the campaign tags in the link, and a short code that tells us which of our conversations the link belongs to. We do not record your IP address, your browser or device details, or the page you came from, we do not use cookies or store anything on your device for this, and we ignore the automatic previews that messaging apps fetch when a link is sent. We do this to know whether a message we sent was useful and, if you create an account from that link, to connect your account to that conversation, so the same short code is saved with your new account even if you have not allowed optional tracking; nothing else from optional tracking is saved without your choice. Our legal basis is our legitimate interest in following up our own conversations, and we keep these records for 12 months. You can object at any time by emailing support@thesalesworkout.com, and we will stop recording opens of links we sent you and delete the records we hold.

If you allow optional tracking, we also load Google Analytics and the Meta Pixel. These tools may receive page visits, page URLs, referrer information, browser and device information, IP address, cookie or pixel identifiers, and events you trigger on the site. Google and Meta may use cookies or similar technologies for analytics, advertising measurement, audience matching, and ad delivery according to their own policies. We do not send practice-call audio, transcripts, prospect notes, payment-card data, or passwords through these browser tags.

After you allow optional tracking, the attribution record is stored in your browser under tsw_attribution, with a random analytics ID under tsw_anon_id. Browser copies of these optional attribution and analytics identifiers last for up to 90 days after the most recent consented visit. Their browser cookies expire automatically; an expired local-storage mirror is removed the next time this site runs. They may be sent to Supabase when you create an account or submit a lead form. Server-side lead and consented-event records are not deleted merely because the browser copy expires; they follow the retention and deletion terms below. If optional tracking is allowed and you submit an email address for a free scorecard, trial, checkout, or account, the durable lead record may also contain the anonymous visitor ID, source, opt-in status, and attribution. Without optional consent, the lead record keeps only the information needed for the requested service and follow-up. Your current cookie choice is stored under tsw_cookie_consent_v2, with a local expiry, for up to 180 days.

Affiliate links carry the partner code in the current URL before you choose. If a valid partner code remains in the current checkout journey, we validate it and may send it to Stripe in checkout and subscription metadata so an eligible affiliate discount can be applied and the related commission can be calculated. This transaction-scoped processing does not create the 30-day browser attribution token and does not depend on optional measurement consent. If you select “Allow,” we additionally store an affiliate-attribution cookie for 30 days so a later eligible purchase can be credited. Rejecting or resetting optional tracking removes that browser token; checkout ignores any stale token unless optional consent is currently accepted, without changing partner data already retained as part of a completed transaction or related accounting record.

Google Analytics and the Meta Pixel are not requested until you select “Allow,” and then only on known public marketing pages whose browser URL has no query string or fragment. Both are excluded from the authenticated app, purchase-confirmation pages, unknown routes, and URLs carrying campaign or credential values. Analytics routes remove query values and authentication, recovery, invite, claim, and checkout credentials before measurement. Selecting “Reject optional” clears first-party optional identifiers and removable Google and Meta cookies from this browser, disables further Google and Meta measurement, and stops future first-party optional measurement. You can withdraw your choice by visiting reset cookie choices or by clearing cookies and local storage for this site. Essential account, security, checkout, fraud-prevention, requested email follow-up, and service-operation records remain separate from optional marketing attribution. We do not sell attribution data. Privacy rights may vary by location, and you can contact us to request access, deletion, correction, or restriction where applicable.

Retention And Deletion

We keep account and workspace data while your account is active or as needed to provide the service. Practice data, prospect notes, transcripts, recordings, scorecards, and related workspace content are kept until deleted, the account is closed, or you contact support to request deletion, subject to reasonable technical limits and legal requirements. If you unsubscribed from our emails, we keep that record, without your email address, even after you delete your training data, so we do not email you again. Deleting your training data also ends the Free Trial emails, and we keep a note of that, without your email address, so they do not start again. Billing records, security logs, support records, and limited account records may be retained where needed for tax, accounting, fraud prevention, dispute handling, service integrity, or legal obligations. Contact support@thesalesworkout.com for deletion requests.

Your Responsibilities

Do not upload prospect notes, transcripts, recordings, or confidential third-party information unless you have the right to use that information in The Sales Workout and share it with the service providers needed to process it.
